| Diyixian’s new IDC expansion has recently been finished. In order to increase our usage capacity to meet customer needs, we have more than 100 racks in new floor. Normally, there are 3 different types of rack available: full rack, half rack and quarter rack. Each with dimensions 600mm(w) x 1000mm(d) x 2200mm(h) respectively and with the height of 45U. All racks are equipped with a lockable door for extra safety. Additional rack shelf is also provided for flexibility of rack usage. To ensure an ultra-secure, well-equipped and climate-controlled environment, we have dedicated all our resources to provide the most advanced facilities in this new Internet Data Centre. Recently a major customer case was reaching the final bidding phase. Project management was one of the most important customer requirements. The customer requested a phone conference between us and their personnel in Xinzhu, Dougguan, Suzhou and San Francisco. They would like to talk more about the WBS (Work Breakdown Structure), milestones, critical path, risk assessment and management of the project. Communications management is a core project management skill. Our project documentations are great communication tools and provide all stakeholders information about the project. We believed that the phone conferencing would be a good opportunity to impress the customer about our professional project management services. However, there were in total 12 people from 5 cities attending the phone conferencing. We could not arrange a multi-point VC (Video Conferencing) with the customer since there was no VC equipment at customer’s Dougguan and San Francisco offices. We wondered if a 2-hour voice only meeting would be good enough for the participants to communicate effectively with each other. We queried if voice would be adequate to review efficiently all the project documentations. We doubted if all attendees would find the meeting focused and productive. We decided to conduct the meeting using web-based online collaboration tool. The tool was simple to use, everyone with Internet web access could join the meeting. We send out the date, time, URL, usernames and then passwords of the online meeting to all participants via emails. Meeting attendees could share and modify document from applications such as Microsoft Word, Excel, PowerPoint and Adobe PDF, etc. Attendees could communicate with each other by using the online collaboration build-in IM (Instant Messaging). The host of the online meeting could control the flow of the document sharing as well as the read/write access right of the each participant. The host could also monitor the status whether the attendee’s desktop active window is the online collaboration tool - of each attendee. In case the host found some participants might do something else on their computers, the host could draw back their attention by asking questions or sending them instant messages. We set up a 12-people voice conference room in our UC system, and used it together with the online collaboration tool. Every participant discussed and worked in the same environment. The meeting was completed in just 90 minutes and the whole meeting progress was recorded for future reference. The result was terrific! The customer was confident in our services and awarded the project to us! They also signed another contract with us to deploy UC and Online Collaboration solutions in their offices! Everyone is on the same page. What do you think? |
